Privacy Notice (KVKK)

This privacy notice has been prepared by the data controller Miray Döküm Makina Sanayi Ticaret Limited Sirketi (the “Company”) under Article 10 of the Turkish Personal Data Protection Law No. 6698 (“KVKK”) and the Communiqué on the Procedures and Principles for Fulfilling the Obligation to Inform, in order to inform visitors of our website and people who contact us through its forms.

2. Which personal data do we process?

The data processed depends on the form you use:

1. Contact form: full name, e-mail address, phone number (optional), subject and message.
2. Quote request form: full name, e-mail address, phone number; optionally company name, city, topic, material, quantity and desired delivery date; description and any PDF files you upload (technical drawings, specifications, etc.).
3. Job application form: full name, e-mail address, phone number; optionally city and cover letter; the position applied for and the education, work experience and other information contained in your CV.
4. All forms: the IP address from which the form was sent, the date and time of submission, the site language and a record confirming that you have read this notice.
5. Use of the site: your cookie preference and, only if you allow it, visit statistics collected through analytics cookies (see the Cookie Policy for details).

Please do not include special categories of personal data such as health, religion, association or trade union membership or criminal convictions in your CV; this information is not needed to evaluate your application.

3. Purposes and legal grounds

1. Evaluating your quote requests, preparing quotations and managing the sales process — KVKK Art. 5/2(c): directly related to the establishment or performance of a contract.
2. Responding to your enquiries — KVKK Art. 5/2(f): the Company's legitimate interest, provided that your fundamental rights and freedoms are not harmed; Art. 5/2(c) where your enquiry relates to a contract.
3. Evaluating job applications and contacting candidates — KVKK Art. 5/2(c): establishment of an employment contract, and Art. 5/2(f): legitimate interest.
4. Securing the forms, preventing automated and malicious submissions and ensuring information security — KVKK Art. 5/2(f): legitimate interest.
5. Responding to requests from competent authorities and protecting our rights in possible disputes — KVKK Art. 5/2(ç): legal obligation and Art. 5/2(e): establishment, exercise or protection of a right.
6. Statistical analysis of site usage (only if you allow analytics cookies) — KVKK Art. 5/1: explicit consent.

4. How do we collect your data?

Your personal data is collected electronically when you fill in the forms on our website and upload files; IP address and cookie data are collected automatically while you use the site.

5. Who do we share your data with?

Your personal data is never sold or shared with third parties for marketing purposes. Limited to the purposes above, it may be shared with:

1. the hosting provider of the website and database, and the e-mail service provider used to deliver form notifications (as data processors, to provide the service),
2. competent public authorities and courts upon request,
3. our lawyers and advisers in the event of a legal dispute.

If you allow analytics cookies, visit statistics are transferred to Google LLC (Google Analytics), whose servers are located abroad; this transfer is based on your explicit consent under Article 9 of the KVKK, and you can withdraw your consent at any time. The map on the contact page is provided by Google Maps and is subject to Google's privacy terms.

6. How long do we keep your data?

Contact messages, quote requests (with attachments) and job applications (with CVs) are kept for 24 months from the date of submission and are then deleted automatically from our system. If your quote request turns into a contract, contract, invoice and correspondence records are additionally kept for the periods required by the Turkish Commercial Code and the Tax Procedure Law. Deletion, destruction and anonymisation are carried out in accordance with the applicable regulation.

7. How do we protect your data?

Form submissions are transmitted over an encrypted connection (HTTPS). CVs and quote attachments are stored in an area that cannot be accessed directly over the web and can only be viewed by our authorised staff through the password-protected administration panel.

8. Your rights

Under Article 11 of the KVKK, you have the right to apply to the Company to:

1. learn whether your personal data is processed,
2. request information about the processing if it has been processed,
3. learn the purpose of the processing and whether the data is used in accordance with that purpose,
4. know the third parties in Türkiye or abroad to whom your data is transferred,
5. request correction if your data is incomplete or inaccurate,
6. request deletion or destruction of your data under the conditions set out in Article 7 of the KVKK,
7. request that the correction, deletion or destruction be notified to the third parties to whom your data was transferred,
8. object to a result against you arising from the analysis of your data exclusively through automated systems,
9. claim compensation for damages arising from unlawful processing.

9. How to apply

In accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller, you may send your request in writing to our address above together with information identifying you, via registered electronic mail (KEP), secure electronic signature or mobile signature, or from the e-mail address you have previously provided to us and that is registered in our system to [email protected]. Your request will be answered free of charge within 30 days at the latest; if the process requires an additional cost, the fee set by the Personal Data Protection Board may be charged.
